GUIDLINES

The Preferred Vendor Program is a trusted network of local businesses who serve the same communities. Preferred Vendors (PV) share referrals with integrity, professionally mirror each other’s work ethic, respect each other’s business-related service requests, and bring real value to buyers, sellers, investors, and homeowners of Lynchburg, Virginia and the surrounding areas.

• Limited to one locally-owned business per category.
• Members must meet the Standards of Excellence, Reliability, and Collaboration.
• Electricians will be one locally-owned business per service area.
• PV’s must deliver business cards and/or flyers for physical marketing to 1179-A Vista Park Dr, Forest, VA 24551 (if applicable).

Standard of Excellence

• 48-hour business hour response to PV inquiries and referrals.
• Preferred Vendor must have active licenses, applicable standards of insurance, and business credentials.
• Consistent, positive client reviews.
• Positive community reputation (personal and professional).

Standard of Reliability

• We honor each referral with priority and integrity to our previous commitments first.

Standard of Collaboration

• Social media tags or referrals are appreciated.
• No obligation to refer other PV members — genuine referrals are valued.
• Refer other great business owners to the Program during openings.

This Agreement becomes effective on the date of execution and remains in effect until the next annual selection and onboarding of Preferred Vendors. Haefer Homes reserves the right to modify, update, or restructure the Preferred Vendor Program in future years to reflect program value, market conditions, and long-term sustainability.

Either party may terminate this Agreement at any time, with or without cause, upon written notice to the other party. Termination shall not require justification and shall not result in penalty. Upon termination, no fees paid under this Agreement - including any optional paid marketing fees - shall be refunded or reimbursed, in whole or in part, regardless of timing or usage. Notwithstanding termination, any materials that have already been printed, published, or distributed - including magazines, mailers, newsletters, or other marketing collateral - may continue to be circulated until existing inventory is reasonably exhausted. No new materials featuring the terminated party will be created or distributed after the effective date of termination without mutual written consent.

By participating in the Preferred Vendor Program, the Preferred Vendor grants Haefer Homes a non-exclusive, royalty-free right to use, reproduce, display, and publish the vendor’s business name, logo, and submitted marketing materials for digital and print marketing purposes, subject to the following conditions:

• Pre-Approval Requirement: Any new digital or print draft featuring the vendor’s logo or business information requires prior written approval from the vendor. A single approval may apply to recurring publications provided the content remains unchanged.
• Alterations: Logos or business names may be resized, reformatted, or adapted for design consistency only with prior vendor approval. If a logo is unavailable or unusable, a generic placeholder may be used with vendor approval.
• Timely Response: If the vendor does not respond to a pre-approval request within five (5) business days, Haefer Homes may omit the vendor’s information from that specific publication without penalty or obligation.
• Protection Clause: No publication shall imply endorsement of illegal activity, misrepresentation, or any content that would reasonably cause reputational harm to any participating vendor.
• Legacy Materials: Marketing materials previously approved or already printed (including magazines, mailers, or newsletters) may continue to be distributed until inventory is naturally exhausted.

Participation in the Preferred Vendor Program is free. Optional paid marketing opportunities are available and are elected at the discretion of the Preferred Vendor. Magazine marketing is anticipated to be published in May, August, November, and February, subject to production schedules and availability.

Participating nonprofit organizations and mortgage brokers may utilize optional paid marketing opportunities at no cost.
